Description of the assignment

To assist the HR department in providing a pro-active and a forward-thinking HR service to the Group Companies, including responsibility for specific tasks and projects within the Department. All tasks in compliance with required strict confidentiality of data & respect for GDPR legislation.

Key Tasks & Resposibillities 

 

  • HR Administration: Office administration duties including telephone contact & enquiry handling, etc.    Correspondence & Communications: compose & issue emails, letters and other communications to employees e.g., Employee Communications and keeping file 'reference copies'. Sending administration to employees regarding the company car and share option schemes. 
  • Starter & Leaver Process: Assist with the uploading of data onto the Candidate on-boarding system and liaising with candidates during their recruitment process.  Inputting of data onto the HR Database, liaison with Payroll and other departments to communicate new starter / leaver details. Ensure accurate records on all systems, spreadsheets, employee benefit portals are updated and the copies of all correspondence is in the employee’s electronic file.
  • Right to work in the UK: Ensure compliance with legislation on ensuring all employees have the right to work in the UK and helping obtain the necessary work permits/Visa's as required. Carry out regular checks on employees’ files. Liaise with the specialist immigration agency and The Home Office to ensure compliance. 
  • Security Vetting: Assisting the project teams with vetting applications for employees and workers. Liaising with employees and employers of agency workers communicating the vetting process and supporting them through it. Verifying and reviewing ID documents to be submitted to the relevant. 
  • Recruitment Administration: Assisting the recruitment team as necessary with tracking candidates, booking, and managing the interviews process, assisting managers to draft job descriptions.
  • Any other reasonable tasks and project work as required.

Profile

  • Previous Administration and Data Entry experience.
  • Excellent communiction skills with the ability to quickly establish and maintain strong relationships across all levels.
  • Excellent organisational and planning skills to help ensure the delivery of a fast-paced HR service.
  • Advanced knowledge of all Microsoft Office packages, especially Excel.
  • To be resilient with a positive and confident approach.
